Parent Information


2022-2023 School Hours

Preschool Arrival: student arrival begins at 8:15 a.m.

Lower School Arrival: students can be dropped off between 8:00 a.m. – 8:20 a.m. Attendance is taken at 8:25 a.m. and the daily Flag Ceremony starts at 8:30 a.m.

Middle School Arrival: students can be dropped off between 8:00 a.m. – 8:25 a.m. Attendance is taken at 8:30 a.m.

Preschool:

  • 8:15 a.m. – 3:30 p.m.

Lower School:

  • TK: 8:20 a.m. – 2:30 p.m.
  • Kindergarten: 8:20 a.m. – 2:40 p.m.
  • Grades 1 & 2: 8:20 a.m. – 2:50 p.m.
  • Grades 3-5: 8:20 a.m. – 3:00 p.m.

Middle School:

  • Grades 6, 7 & 8: 8:25 a.m. – 3:05 p.m.

Back-to-School Information & Forms

Please read carefully as there are required forms and optional forms for certain grade levels. Please note due dates as they will vary. 

All Grade Levels

  • We recommend testing your child before they start school.
    • We will have a limited supply of antigen at-home tests available for parents to pick up on August 25 & 26.
    • Per current state recommendations, masks are optional.
  • Lower School teacher assignments and Middle School group assignments are available on Alma.
  • Read the 2022-2023 Family Handbook (required in order to complete the online Emergency Card)
  • Complete the online Emergency Card (required – due by August 19)
    • For Grades TK-8 students only. Preschool parents received required forms via email.
    • One online Emergency Card must be completed for each child.
    • All students (new and returning) must have an updated Emergency Card.
    • Your child(ren) will not be able to attend the first day of school until we receive a completed Emergency Card.
  • Read and sign the iPad Handbook Student Pledge and Parent Agreement (required – due by first day of school, August 29)
    • For Grades TK-8 students only.
    • Parents will receive an email from Kim Kelley, IT Assistant on Friday, August 19 with information about student iPad models.
    • To receive iPad, students must bring completed forms and iPad case to school. Forms can be returned to the homeroom teacher or emailed to Kim Kelley at kkelley@rhoadesschool.com.
    • The school will provide an iPad case for TK students to use.

    • Students will review and sign the Acceptable Use Policy (AUP) with their technology teacher.
  • NEW students – immunization records (required – due by August 26)
    • Children in California are required to receive certain immunizations in order to attend public and private preschool, elementary and secondary schools. Schools are required to enforce immunization requirements, maintain immunization records of all children enrolled, and submit reports. See the California Department of Health website for more information.
  • Medication Authorization Form (required if your child needs medication during the school day)
  • Grade level school supplies
  • Modification Request Form (optional)
    • For learning and health accommodations.
    • Supporting documents provided by a physician for medical accommodations and a psychologist for learning accommodations are required.

  • Sign up for Extended Day (optional)
    • Space is limited. Once capacity is reached, a waitlist will be established.
    • The Extended Day Registration Form must be completed and returned to the office by August 24. Forms received after this date will be considered for the following month.
    • Registration is not complete until form and payment is received.
    • Monthly payment is due upon enrollment. If paying by check, make check payable to The Rhoades School. If paying by auto pay (ACH) or credit card (2.25% fee applies), please submit form by due date above and add your bank account or credit card information in Alma.
    • Emergency Extended Day is available upon request for $40 per day, per child. Please notify the school as soon as possible if your child(ren) need to use Emergency Extended Day.
      • Preschool Extended Day Hours:
        • 7:00 AM – 8:15 AM & dismissal to 6:00 PM.
      • Lower School Extended Day Hours:
        • 7:30 AM – 8:00 AM & dismissal to 6:00 PM.
      • Middle School Extended Day Hours:
        • 4:30 PM to 5:30 PM.
        • Middle School students are allowed to stay on campus until 4:30 p.m.
  • Register for the Primary.Health COVID Testing program (optional)
    • The Rhoades School has partnered with the California Department of Public Health to offer free COVID-19 testing for TK-Grade 8 students and all staff through Primary.Health. Only students who are registered with Primary.Health will be tested. The testing program is voluntary but highly encouraged. We will test students who consent to participate in the program if the individual has been identified as a close contact with someone who tested positive for COVID-19 and is showing one or more symptoms of COVID-19. If you would like your child to participate in The Rhoades School COVID-19 testing program, follow these steps:
      • New families:
        • Preschool students are excluded from COVID Testing
        • Click this link to register: https://my.primary.health/l/rhoadesschool.
        • Select the “Student Registration” button. If you have more than one child, each of your children must be registered separately.
        • For the school selection, please choose:
          • “The Rhoades School” for the Lower School
          •  “Rhoades Middle School” for the Middle School 
        • Once you submit your registration, you will be required to verify both your phone number and email.
        • To avoid duplicate student accounts, please designate one parent as the contact.
      • Returning families:
          • An email from no-reply@primary.health was sent to the parent of each registered child with a personalized link to complete a new consent for the 2022-2023 school year.
          • All previously signed consents expired at the end of the school year.
  • Alma Emergency Alert Setup (required – click here for directions)
    • For Grades TK-8.
  • Sign up for Choicelunch (optional)
    • For Grades TK-8. Preschool parents must provide lunch for their children.
    • In order for students to participate in our lunch program, parents/guardians must create an account with Choicelunch.

Preschool

  • Preschool Registration Forms (required – due before school starts)
    • The Preschool Physician’s Report must be completed by a physician.
    • Completed forms can be dropped off at the Preschool office or emailed to Priscilla Drew at pdrew@rhoadesschool.com.

Lower School

  • Grades TK-5 – Classroom Visit Day, Friday, August 26 (optional)
    • 9:30 AM – Grades TK-2
    • 10:00 AM – Grades 3-5
      • Parents with multiple children at the Lower School may visit any time between 9:30 AM and 10:30 AM.
      • Parking – if you cannot find street parking along Rancho Santa Fe Rd, please park in the dirt lot behind Firenze Trattoria restaurant.

        • For safety, we recommend using the cross-walk to navigate to campus.
        • Please do not park in the Harvest Ranch, Encinitas Union School District or Grangetto’s parking lots.
  • Grade 1 – Report of Health Examination for School Entry (required – due before or up to 90 days after enrolling in 1st grade)
    • Form must be completed by a physician.
    • Completed forms can be dropped off at the Lower School office, emailed to Diane Price at dprice@rhoadesschool.com or faxed to (760) 436-8128.
  • Grade 4 & 5 – Co-Ed Cross Country (optional – due by September 2)
    • $425
    • First day of practice is Tuesday, September 6.

  • Grades 1-5 – After-School Aladdin Musical (optional – due by August 24)
    • $325
    • September – February
    • Tuesdays and Thursdays, 3:30 PM – 4:45 PM
    • Open to all students in Grades 1-5, but auditions will be held on September 8 for roles
    • The first day of practice will be September 13.

  • Grades 4-5 – FIRST LEGO League (optional – due by August 24)
    • Cost: $525
    • September – March
    • Tuesdays and Thursdays, 3:15 PM – 4:00 PM
    • The first meeting will be held on Tuesday, September 6.

Middle School

  • All Middle School students – Locker Selection (required)
    • Students should bring a lock.
    • Students are required to register the combination with the office.
      • 8th Grade – August 25, 9:00 AM – 10:30 AM
      • 7th Grade – August 25, 12:30 PM – 2:00 PM
      • 6th Grade – August 26, 1:00 PM (during New Student Orientation)
  • Grade 7 – Tdap immunization update must be submitted prior to the start of school (required – due by August 26)
    • Grade 7 students will not be able to attend the first day of school if they do not meet the State of California immunization requirements.
    • Grade 7 updated immunization records can be emailed to Diane Garcia at mdgarcia@rhoadesschool.com
    • For more information about mandatory Grade 7 immunizations, please visit www.cdph.ca.gov.
  • ALL 6th grade students and NEW 7th and 8th grade students – New Student Orientation (required)
    • August 26, 1:00 PM – 2:30 PM
    • This event is for students only.
    • Gates will open at 12:50 for parents to drop off students.
    • Please drop off your student at the top of the loop. See map for details.
  • All Middle School Students – Middle School Activities Permission Slip (required – due by August 30)
  • Grades 6-8 – Girls Volleyball (optional – due by September 2)
